Exhibition logistics is the process of planning and coordinating the movement of the exhibition stand, products and team before and after the event.

Before the event, logistics include the transportation of the stand, promotional materials, and giveaways. Included in this is any specialised equipment for the build, though this varies based on the stand system you use. For example, stands built within the Prestige Events System only require a 4m ladder and an Allen key, while other solutions require a more comprehensive collection of tools. Everything must arrive at the exhibition within the dedicated time frame, so it is important to use a reliable contractor.

For international events, you’ll need to prepare for customs with an ATA Carnet. This is an international customs document which allows the duty-free and tax-free import of temporary goods – in this case, your exhibition stand and materials. You may require freight forwarding services.

The building and dismantling of the exhibition stand, and the booking of on-site electrical services, are a critical part of exhibition logistics and require careful planning. Logistics also concern the storage of the exhibition stand between shows!

Alongside these official logistics are the planning and organisation of the exhibiting team and staff, such as transport and hotels.
